Administrator Data Access

To ensure transparency regarding data privacy, the following information outlines the level of access administrators have to macosko.net accounts and data within the family domain. Because this domain utilizes the Legacy Free Edition of Google Workspace (G Suite a.k.a. Google Apps for Your Domain), administrative tools are primarily focused on account management rather than content monitoring.

What Administrators CANNOT See or Do

• Read Emails or Chats: Administrators do not have a "backdoor" to read private emails or Google Chat messages.

• Browse Google Drive: Administrators cannot browse private files or folders unless those items are explicitly shared with them.

• Access Passwords: Passwords are encrypted. Administrators can reset a password to help a user regain access, but they can never view the actual password.

• Perform Discovery Searches: This edition does not include "Google Vault," meaning administrators cannot perform domain-wide searches to find specific keywords or content within private files or messages.

What Administrators CAN See (Technical Metadata)

• Security Logs: Administrators can view account activity, including the last sign-in time, the type of device or browser used, and any failed login attempts.

• Email Metadata: Administrators can access email delivery logs to see the sender, recipient, and timestamp of messages. However, they cannot see the subject lines or the content of these emails.

• Storage Usage: Administrators can see the total amount of storage space used by an account across Gmail, Drive, Photos, Sites.

• Service Activity: Administrators can see which Google services are enabled and active for a specific user (e.g., Calendar, Drive, or YouTube).

Account Recovery and Access

In rare circumstances - such as a security breach or a request to recover data - administrators have the ability to reset an account password. This allows them to log in as the user to perform necessary maintenance. This action is generally reserved for emergencies or direct user requests, as a password reset would be immediately apparent to the account holder. To protect everyone involved, macosko.net admins have agreed that this will only be done once documented legal authorization is provided.
